This position serves as the Office & Technology Support Coordinator for the Behavioral Health Administration (BHA), providing integrated administrative and technology support services that keep daily operations running smoothly for the entire administration. The coordinator delivers administrative assistance across all levels of the administration — staff, program teams and leadership — while also leading first-level IT and telecommunications support as the administration’s liaison with Minnesota IT Services (MNIT). The position maintains organizational and information systems, coordinates scheduling and meeting logistics, manages office supplies and equipment, supports videoconferencing and web-based events, maintains Learning Management System (LMS) data, and equips new and current staff with the technology and administrative resources they need. The Office & Technology Support Coordinator seeks and receives guidance and direction from the administration’s Communications and External Relations Team supervisor while working collaboratively with all team members to support the BHA’s mission and objectives and create an efficient, well-functioning workplace for everyone. Some responsibilities include but are not limited to: • Provide comprehensive administrative support and coordinate general office functions across the Behavioral Health Administration. • Technical Services Liaison (TSL) Lead first-level IT and telecommunications support within the Behavioral Health Administration and serve as the liaison with Minnesota IT Services (MNIT). • Develop and manage administrative information systems and provide videoconference and webinar support for efficient organizational communication. • Support and assist with managing division training using DHS Learning Management System(s) and other resources and tools. • General administrative duties as assigned or as back-up.

Communication Skills sufficient to support verbal and written communication skills for clear interactions with staff, executives and visitors.
Computerized Inventory Control Systems skills sufficient to inventory and maintain office supplies and access the impact of computer and telecommunication problems. Experience with enterprise IT and telecommunications support, including PC hardware troubleshooting, software support and deploym
Customer Service Skills sufficient to provide high-level administrative support and coordinate general office functions for the administration, including calendar management, meeting organization and creating and facilitating business communications.
Data Entry Performance sufficient to support technical proficiency with Microsoft Access, PowerPoint, Word, Excel, Outlook, SharePoint, Visio, Acrobat, database design and reporting tools, and learning management system software applications.
Database, Documents, and Records Management skills sufficient to the creating, storing, maintaining and troubleshooting of database issues and access with IT, generating custom reports and storing and adhering to retention policies.
Development of Administrative and Programmatic Procedures related to administrative office management that includes, but is not limited to, handling of incoming mail, updating and maintaining organization charts and managing contact resources and internal phone listings.
English Language sufficient to having thorough knowledge of the rules of standard English grammar and usage.
